SharePoint AI / A practical buyer guide

SharePoint AI assistants: six checks before a pilot.

An assistant that answers questions from SharePoint could reduce the time your team spends looking for guidance. The useful question is whether it can find the right answer for the right person, from information your organisation trusts.

Start with one recurring task: finding an approved procedure, preparing a project review, or answering a service question. Define what a good answer looks like and measure the current work before choosing the technology.

1. Choose a task before choosing an agent

Ask the people doing the work for ten representative questions. Include straightforward requests, exceptions and questions that currently need an experienced colleague. For each, identify the intended answer, its owner and its source.

The pilot should support a specific decision: continue, revise the scope or stop. A polished demonstration cannot make that decision for you.

2. Check the existing Microsoft capability first

Establish which Microsoft product, knowledge-source route, identity configuration and licences your organisation actually has. Compare the proposed solution with that starting point before paying for additional development.

Microsoft documents different SharePoint access routes and route-specific restrictions. A feature available through one route should not be promised through another. Confirm the configuration with your administrator. Microsoft's current limits.

Your assessment should leave you with a short explanation of what native functionality covers, what needs configuration, and which remaining task justifies integration or custom work.

3. Test with different user roles

Use an authorised test area with fictional documents. Run the same questions as users with different access rights; record who should be able to see each answer before testing.

For Copilot Studio's fully integrated SharePoint knowledge option, Microsoft describes answers being limited by the signed-in user's permissions. It also identifies encrypted-document limitations. That describes the product route, not a guarantee about your organisation's configuration. SharePoint knowledge guidance.

A restricted document should not become available because an assistant can reach it. Include negative tests, and agree how the pilot will be stopped and investigated if information appears outside its intended boundary.

4. Check the answer and its evidence together

For each question, have the information owner assess whether the response is useful, supported and appropriate for the user. Open the cited source rather than accepting a plausible title or link.

Include missing information, conflicting versions and instructions embedded inside documents. Agree what the assistant should do when it cannot establish an answer: state the gap, ask a clarifying question or refer to the owner.

Generative answers can contain mistakes and vary between runs. Judge meaning and supporting evidence rather than demanding identical wording. Microsoft's generative-answer FAQ.

5. Measure the complete task

Compare the current workflow with the proposed one, including document preparation, checking, corrections and unresolved questions. Keep licence and running costs alongside human effort. Record the number of acceptable completed tasks so rejected answers do not make the figures look better.

Test the calculation separately if an answer includes totals or planning scenarios. Fluent explanation is not numerical validation. Our AI Buyer Assessment Kit helps structure the broader supplier decision.

6. Name the people who will operate it

Agree who owns the sources, approves changes, reviews failed answers and supports users. Recheck the agreed questions when content, access or configuration changes. Decide how the team returns to its existing process if the pilot is unavailable or unsuitable.

The outcome should be an evidence-backed recommendation, with costs, unresolved issues and an accountable owner—not an automatic promise to scale.
